Starting Point

PBKM's customer base is constantly growing. And so is the amount of data that needs to be collected, processed, stored and retrieved. Temporary solutions for small business no longer work. Cledar's fCRM offers the right set of functionalities for a growing enterprise.

Information Flow Management

Challenges

  • information dispersed throughout different departments
  • diverse tools and formats used
  • incomplete or duplicated data; no consistency
  • time-consuming data access

Solution

The Clients module lets you manage information about your clients, employees and partners easily. It allows you to store test results and medical certificates, as well as provides order, partner, contract, training and inventory management capabilities.

Different user groups have various data access permissions. This is governed by the flexible and convenient permission mechanism.

Document Management

Challenges

  • difficult cross-departamental co-operation (eg. Finances and Customer Care departments)
  • incompatible document formats used, including paper documentation
  • inconsistent documentation

Solution

The Documents module provides templates for documents, certificates, as well as correspondence with clients and partnering institutions. The system provides integration with Accounting department's IT solutions, facilitating workflows, such as ordering, invoicing, corrections. This module also supports scanned paper documentation.

This solution clearly contributes to greater staff's satisfaction and faster customer service.

Data Consolidation and Reports

Challenges

  • difficult consolidation of data dispersed across departments
  • frequent access to particular type of aggregated data (eg. delayed payments list)
  • new report types

Solution

Any data stored in the system can be used to create a report. The Reports module lets the user generate pre-defined reports to see eg. the amounts of blood stored (incl. blood type information) or to have an overview of the storage availability across containers.
The results can be accessed directly through the system's user interface or exported to an MS Excel compatible format.
fCRM also features a powerful Report Designer that allows the user to create new report templates in a fast and flexible way.

External Requirements Compliance and Standardization

Challenges

  • medicine is particularly prone to legislative changes
  • PBKM expands their operations to foreign markets

Solution

An enterprise-wide information system allows PBKM to respond quickly to legislative changes, such as obligatory storage of historical data

fCRM provides PBKM with standardised workflows, procedures and documents, enabling departments in different locations to co-operate more smoothly and effectively.

Laboratory Integration

Challenges

  • growing number of samples
  • sample location register (incl. historical data)
  • test results register
  • notifications about missing or inconclusive test results

Solution

The Gelo module visualizes the samples location within the containers. The system supports hierarchical storage structure (cryostats, racks, shelves, cassettes), and is able to handle new types of containers (eg. cassette-less racks).

A clear advantage of this solution is minimizing the human error rate when localizing the samples.

The permission mechanism prevents any information from being retrieved or changed by unauthorized personnel.
